                          Waybill errors can be costly

                          Media release : 30th January 2009

Incorrectly filling out waybills or national vendor declaration (NVD) waybills can cost farmers time and money.

Department of Agriculture and Food veterinarian Roy Butler said when moving sheep or goats off a farm, it was important to read and properly complete the required travel documents.

“Saleyards and abattoirs are required to have a correct NVD-waybill and may refuse to sell or slaughter the animals if they find errors or omissions,” he said.

Dr Butler said there were some common errors made on NVD-waybills, such as owners not using their correct trading name.

“The name you write on the waybill must be your trading name, as it appears on your brand registration certificate,” he said.

“Another common error is when owners used a combined NVD-waybill with a pre-printed property identification code (PIC) not registered to them.

“The NVD/waybill is issued by Livestock Production Assurance (LPA) to an owner of the PIC on the form. It cannot be used by another owner,” Dr Butler said.

“If you have more than one PIC, make sure each is registered with LPA and the correct NVD book is used.”

Dr Butler said many owners were confused by the NVD-waybill column requiring details of the PIC or brand on the sheep.

“In the PIC or brands column, WA owners need to enter the brand on the last tag applied to the sheep, which should be the current owner™s brand,” he said.

Dr Butler recommended that stock owners who are unsure of their brand registration details, which include a PIC and earmark, check their brand registration certificate or PIC card or the Stock Brands Register on the internet at http://spatial.agric.wa.gov.au/brands/index.asp .

“The department is notified of inaccurate NVDs, including incorrect identification of stock and incorrectly completed documents. Those who continue to provide inaccurate information may be prosecuted.

“Travelling sheep and goats must always be accompanied by a correctly completed waybill, which for sheep is usually combined with an NVD.

“Sheep should also have an accompanying national sheep health statement.”

The department has produced a flyer to help WA producers fill out NVD-waybills correctly, which can be downloaded here.
